Privacy Notice

This notice explains how the Canadian Black Education National Network (“CBENN”) handles personal information submitted through this website, including update registrations, volunteer or mentor interest, partnership inquiries and general messages.

The website collects only the fields required for the route selected. Depending on the form, this may include an email address, name, role, province or territory, organization, partnership interest, volunteer interest, availability, subject and message.

The server also processes limited technical information for security and delivery, including a one-way hash derived from the submitting IP address, browser user-agent information, form timing and rate-limit records. The public form does not collect payment information, government identification or background-check documents.

• To deliver network and initiative updates when the visitor has expressly subscribed.
• To route and respond to volunteer, mentor, partnership, media, governance, accessibility and general inquiries.
• To administer future consultations or opportunities the visitor has chosen to hear about.
• To protect the form from spam, abuse and automated submissions.
• To monitor whether submissions were stored and delivered successfully.

Update-list consent is separate from consent to respond to an inquiry. Visitors using a direct-inquiry form may optionally subscribe to updates. CBENN should include an unsubscribe method in every bulk update email and honour unsubscribe requests promptly.

Withdrawing from updates does not prevent CBENN from retaining information that is reasonably required to complete an existing inquiry or meet legal obligations.

Validated submissions are written to a protected server-side CSV log so a message is not silently lost when website email delivery fails. The form also attempts to send the submission to info@cbenn.net and a confirmation to the visitor.

The CSV directory is blocked from public web access. Hosting and email providers may process information on CBENN's behalf. CBENN should document those providers internally, restrict administrative access and review delivery logs.

Update-list information is retained until the individual unsubscribes or the list is discontinued. Direct-inquiry and volunteer or partnership records are retained only as long as reasonably required for response, administration, safeguarding, audit and applicable legal obligations.

Rate-limit files are short-lived operational records and should be routinely purged. CBENN should approve a detailed retention schedule and apply it consistently before moving the form into a CRM or other third-party platform.

CBENN serves students and may receive interest from people under the age of majority. The public form is not a mentorship placement, screening or emergency-support service. It should not be used to submit highly sensitive personal information.

Youth-facing activities must have separate consent, safeguarding, screening, supervision, incident-response and data-handling procedures before they begin.

No analytics platform or advertising tracker is enabled in this package by default. The site loads some design libraries and fonts from third-party content-delivery networks, which may receive ordinary technical request data such as an IP address and browser information. Local fallback copies are included for core functionality.

If analytics, a CRM, an email-marketing provider, embedded media or other services are later added, this notice and any consent mechanism must be updated first.

CBENN uses server-side validation, a hidden honeypot field, minimum completion time, rate limiting, output encoding, protected storage and security headers. No internet transmission or storage system can be guaranteed completely secure.

To request access to, correction of or deletion of personal information, unsubscribe from updates, or ask a privacy question, email info@cbenn.net. Include enough information for CBENN to locate the relevant record, such as the submission reference number where available.
